What to expect

The busiest day at Base Camp. The Ranger guides the entire crew through ten stops — Welcome Center check-in, gear drop, crew photo, camping registration, outfitting, medical recheck, mail room, gear shakedown, logistics trip plan, and security. Get through it all and the trail starts in the morning.

Crews that arrive before 10:00 AM complete all Base Camp procedures in a single day. Do not schedule anything else until the Ranger releases the crew.

Day At A Glance

Activities

  • Welcome Center — Crew Leader and Lead Advisor check in, receive tent assignments, meet Ranger
  • Drop gear at tents — carry water, rain gear, and medications for the rest of the day
  • Crew photo — field uniforms or crew t-shirts
  • Camping Registration — Ranger, Advisors, Scouts 18+ inside; roster and IDs checked
  • Outfitting Services — receive tents, bear bags, rope, pots, dining fly, trail food, and fuel
  • Medical Recheck — all crew members reviewed with Philmont Infirmary staff; prescriptions in original containers required
  • Mail Room — pick up any gear shipped ahead
  • Shakedown — Ranger checks all gear; non-essential items stored at Base Camp
  • Logistics Trip Plan — Crew Leader and Lead Advisor receive campsite, trail, and program info
  • Security — receive lockers (if not storing gear in personal vehicles)

Crew notes

  • We will store our bags and gear not going on trail in the crew vans.
  • *After shakedown, anything in your pack goes on trail. There is NO WAY to send it back.*
  • The Opening Campfire means bedtime is later tonight. Plan for it.
  • Quiet hours at Base Camp are 10:00 PM to 7:00 AM.

Crew leader notes

Watch for

  • Extra gear creeping into packs at shakedown
  • Missing medical form or medication issue discovered at check-in
  • Not asking questions while the Ranger is available
  • Late campfire running into quiet hours

Crew leader focus

Stay organized through check-in. Listen carefully in Logistics. Own the final Crew Leader copy. Shakedown decisions are final.
